Privacy Policy

Studio4Agents is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your choices. It applies to all users of studio4agents.com and any related services.

1. Information We Collect

Information you provide directly:

  • Account information: Name, email, phone number, brokerage, job title, and real estate license number.
  • Profile content: Headshot, brokerage logo, testimonials, bio, and brand colors you upload.
  • Payment information: Processed by Stripe, Inc. We do not store your full card number.
  • Open house lead data: Visitor names, emails, and phone numbers collected through your open house tools. This data belongs to you.
  • Connected social accounts: If you connect a Facebook Page or LinkedIn account, we collect the account/Page identifier, account name, profile picture, and an access token issued by that platform. See Section 4 for details.
  • Support communications: Messages you send to our team.

Information collected automatically:

  • Usage data: Pages visited, features used, content generated, login timestamps, and session duration.
  • Device data: IP address, browser type, operating system, and referring URLs.
  • Cookies and local storage: See Section 5 for full details.

2. How We Use Your Information

  • To provide, maintain, and improve the Service.
  • To personalize your marketing content (social posts, market reports, listing materials, open house tools).
  • To publish content to your connected Facebook Page and/or LinkedIn account when you schedule or authorize a post, and to retrieve performance data (such as reach, impressions, and engagement) for content published through the Service.
  • To process subscription payments and manage billing.
  • To administer the referral program, including calculating and paying commissions.
  • To send transactional emails (account setup, billing receipts, lead notifications).
  • To send product updates and feature announcements (you may opt out at any time).
  • To detect and prevent fraud or violations of our Terms of Service.
  • To comply with legal obligations, including tax reporting (e.g., Form 1099-NEC for referral commissions ≥ $600).

3. How We Share Your Information

We do not sell your personal information. We share it only in these limited circumstances:

  • Service providers: Stripe (payments), Neon (database), Amazon Web Services (file storage), Render (application hosting), and email providers — each bound by confidentiality obligations.
  • CRM integrations: If you connect a supported CRM (e.g., BoldTrail, Follow Up Boss, or Lofty), we share your lead data with that platform as directed by you.
  • Social media platforms: If you connect a Facebook Page or LinkedIn account, content you author or approve is sent to Meta or LinkedIn's APIs for publishing, and performance data is retrieved from those APIs, as directed by you. Their use of your information is governed by their own privacy policies.
  • Legal requirements: We may disclose information if required by law, court order, or to protect rights, property, or safety.
  • Business transfers: If Studio4Agents is acquired or merges, your information may transfer. We will notify you before your data becomes subject to a different policy.

4. Social Media Account Connections

If you choose to connect a Facebook Page or LinkedIn account to the Service, you authorize us to act on your behalf within the scope of the permissions you grant during that connection (for example, publishing posts and reading engagement or performance metrics).

  • Access tokens: We store the access token issued by Facebook or LinkedIn in encrypted form. It is used only to publish content you schedule or approve and to retrieve performance data for that content — never to post without your action or to access data outside the scope you authorized.
  • Performance data: Where available from the platform's API, we retrieve metrics such as reach, impressions, likes, comments, shares, and clicks for posts published through the Service, and display them to you in your dashboard.
  • Disconnecting: You may disconnect a social account at any time from Settings. Doing so revokes and deletes the stored access token immediately; previously retrieved performance data may be retained as part of your account history.
  • Platform compliance: Our use of Facebook and LinkedIn data is subject to, and we comply with, the Meta Platform Terms and Developer Policies and the LinkedIn API Terms of Use, in addition to this Privacy Policy.

5. Cookies and Tracking

We use cookies and browser storage to operate the Service. Here is exactly what we use:

We do not use third-party advertising cookies or sell your browsing data. Most browsers let you control cookies in Settings. Blocking essential cookies may prevent the Service from working.

6. Data Retention

We retain your account data for as long as your account is active. After cancellation, we keep your data for 90 days to allow reactivation, then delete or anonymize it — except where required by law (e.g., billing records for 7 years).

Open house lead data is retained until you delete it from your account.

7. Security

We use encrypted connections (HTTPS/TLS), hashed credentials, and access controls. No method of transmission is 100% secure — we cannot guarantee absolute security and encourage you to use a strong, unique PIN.

8. Your Rights and Choices

  • Access: Request a copy of your personal data.
  • Correction: Update inaccurate information in your profile settings or by contacting us.
  • Deletion: Request deletion of your account and data within 30 days, subject to legal retention requirements.
  • Portability: Request an export of your data in a common format.
  • Marketing opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link. Transactional emails related to your account will continue.

9. California Privacy Rights (CCPA)

If you are a California resident, you have the right to know what personal information we collect, request its deletion, and opt out of its sale. We do not sell personal information. To submit a request, contact sgentry@strategies4ward.com.

10. Children's Privacy

The Service is for adults and licensed real estate professionals only. We do not knowingly collect personal information from anyone under 18. If we learn a minor has provided information, we will delete it promptly.

11. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by email or in-app notice at least 14 days before they take effect.
